NEED HELP WITH YOUR BUSINESS IT?

If you’re looking to improve the way your IT supports your business, CCS can help. We’ll work with you to make sure your systems are reliable, secure and set up to support the way your team works now, while giving you the right foundations for future growth.

Many businesses hesitate to switch from traditional phone lines to VoIP because of common misconceptions. Some worry about dropped calls and poor sound quality, while others fear their team will struggle with complex software and end up using their mobiles instead.

But with the right setup and approach, VoIP can enhance communication, reduce costs, and improve flexibility – without any of those issues.

Here’s how to optimise your VoIP network to ensure seamless, high-quality calls for your business.

Use the same network for voice and data

One of the main reasons businesses choose VoIP is to cut costs. To maximise these savings, it’s best to run both voice and data on the same network. Keeping them separate can add unnecessary complexity, increase setup costs, and make troubleshooting harder.

Regardless, choosing to combine your voice and data does take a bit of thought to ensure you don’t bump into unnecessary issues. So ask your provider the following questions before getting started:

  1. Will you be able to scale the service as needed?
  2. How much bandwidth will you need to cover both data and voice? Does your business have enough?
  3. Can you make modifications to the network?

Asking these questions early helps avoid performance issues and ensures a smooth transition to VoIP.

Prioritise voice communication

VoIP can reduce costs, but if call quality suffers, it could damage your professional reputation. To avoid lag, distortion, or dropped calls, your network should prioritise voice traffic over other internet activity.

You can do this by setting Quality of Service (QoS) on your router, ensuring VoIP traffic is given priority over less critical activities like file downloads or video streaming. It’s also important to monitor bandwidth usage, especially if your team relies on data-heavy applications. A well-configured network allows you to enjoy reliable, high-quality calls without disruption.

Provide comprehensive staff training to optimise your VoIP usage internally

VoIP is simple to use, but like any new technology, there’s a learning curve. While many business owners are happy to give a few quick tips to their employees along with a brief manual, the training often stops there. If employees aren’t confident using the system, they may resort to workarounds like using personal mobiles, which can lead to inconsistent communication. And what if your employees encounter problems with the technology while they’re on the phone with a customer? With proper training you can avoid such scenarios.

Providing training ensures everyone understands the basics of making and receiving calls, handling transfers, and troubleshooting minor issues. It’s also an opportunity to introduce advanced features such as in-call coaching, hot desking, and call screening, which can improve efficiency. A well-trained team leads to smoother communication, better customer interactions, and a faster return on investment for your VoIP system.

Once you’ve done the training, don’t forget to test your employees on what they’ve learned and answer any and all questions they may have.
